Most e-Sevai center operators check their cash drawer at the end of the day and think: "I collected ₹2,400 today." But that number isn't your profit — it's your gross collection. Buried inside it are government fees you collected on behalf of the state, expenses you haven't accounted for, and the actual service charge that belongs to you.
If you don't separate these, you're flying blind. This guide shows exactly how to do it.
Step 1 — Understand the three money layers in every e-Sevai bill
Every service you complete at an e-Sevai center involves three numbers:
- Government fee — the fixed fee mandated by the state government for the service (Aadhaar, Patta, EB bill payment, etc.). You collect this and pass it through. It is not your income.
- Your service charge — what you charge the citizen for your time, effort, and the service you're providing. This is your revenue.
- Your operating cost — electricity, rent, printer ink, operator salary. Subtract this from your service charge and you have profit.
Example: A citizen comes for a Patta chitta. Government fee: ₹30. You charge ₹70 total. Your service charge = ₹40. That's the number to track — not ₹70.
Step 2 — Record every service by type every day
You don't need accounting software to start. A simple table works. For each service you complete, write down:
- Service name (Aadhaar correction, EC copy, TNEB bill, etc.)
- Government fee collected
- Total amount collected from citizen
- Your service charge (total minus government fee)
Add up the "service charge" column at end of day. That's your daily revenue.
Step 3 — Track expenses separately
Expenses kill profit silently because they happen in small amounts throughout the month. Common e-Sevai center expenses:
- Rent and electricity (monthly — divide by working days to get a daily share)
- Printer ink and paper (per ream or per cartridge)
- Operator salary
- Internet and biometric device fees
Write down every expense as it happens. At the end of the month, divide total expenses by working days to get a daily expense number.
Step 4 — Calculate your actual daily profit
The formula is simple:
Daily profit = Daily service charges − Daily expense share
If you collected ₹800 in service charges and your daily expense share is ₹320, your actual profit is ₹480 — not ₹800.
Why this matters: Centers that don't track this often discover at year-end that months where they "felt busy" were actually their worst profit months — because expenses crept up or they forgot to raise service charges.
How sevaiOS automates all of this
sevaiOS does this tracking automatically for every bill you raise. Each service has a government fee and a cost price pre-configured. When you complete a service, the software calculates your profit per transaction in real time.
The sevAI Growth dashboard shows you:
- What you actually earned this month (service charges only, not government fees)
- What you kept after expenses
- Which services are your most profitable (not just the most popular)
- Your daily earning trend for the last 30 days
No manual calculation. No end-of-month guesswork.
